We collect account details such as your email address, profile information and authentication data when you sign in or create an account.
When you upload or record audio or video, we process the files, transcripts, summaries and related metadata needed to provide the transcription service.
We may collect product analytics, device information and usage events to improve reliability, performance and user experience.
How we use information
We use your information to provide transcription, recording, upload, account and support features.
We use operational data to prevent abuse, debug issues, secure the service and measure product performance.
We do not sell your personal information.
Connected ChatGPT app
If you connect VoiceScribe to ChatGPT, you can grant read-only access to recording identifiers, titles, dates, status and duration, transcript text with available timestamps and speaker labels, and saved summaries. A separate account permission allows access to membership status, plan, expiry and daily transcription usage. This information is sent to OpenAI through the ChatGPT connection to find your recordings, answer questions about their content, retrieve saved summaries and report account usage when requested.
The tools do not send audio or video files, storage URLs, account email fields or payment credentials. However, recording titles, transcripts and summaries may contain names, email addresses or other personal information present in your content; this content is not automatically redacted before it is shared. Review your recordings before choosing to share them.
The connection uses the VoiceScribe account identifier present in your browser and the permissions you approve. We store OAuth client registration, authorization grants, token hashes and revocation records in our Redis service provider to operate the connection. Authorization grants expire after 30 days; revoked grant records can remain until their expiry. Client registration data and revocation markers may remain to support connection management and prevent old grants from becoming valid again. Information retrieved by ChatGPT is also subject to OpenAI’s privacy and data controls. You can revoke VoiceScribe connections from /api/mcp/oauth/manage to invalidate their access. Revocation does not delete information already shared with ChatGPT; use the applicable ChatGPT data controls for that information.
Data retention and deletion
Recordings, uploaded files, transcripts and task data are retained only as needed to provide the service and your account history.
You can delete recordings or contact us to request deletion of account data, subject to legal and security obligations.
Security
We use technical and organizational safeguards designed to protect your information, including encrypted transport and access controls.
No online service can guarantee absolute security, but we continuously work to reduce risk and improve protection.
